The studio tracks every claim, computes the exempt portion, rolls unspent budget forward, and reverses the year-end leftover cleanly into the March payslip.

The six categories
The Income Tax Act spells out which employer-paid reimbursements are exempt from tax (within specific limits) and which aren't. Six categories cover ~95% of typical employer reimbursement budgets. The studio's category presets carry the current cap for each; new categories can be added as custom rows with employer-defined caps and explicit taxable/exempt classification.
IT cap · Fully exempt vs bill
Mobile and broadband bills in the employee's name, paid by the employer. Fully exempt from tax when supported by the bill — no per-month cap from the IT department. Employer budgets typically ₹1,000–2,000/month.
Monthly bill / data plan invoice in employee's name. Postpaid only — prepaid recharges typically not accepted.
IT cap · ₹2,400 (er-owned) / ₹900 (emp-owned)
Petrol / diesel / electric-charging bills. Cap depends on vehicle ownership: ₹2,400/month for employer-owned vehicle used for official+personal; ₹900/month for employee-owned vehicle (also used officially). Excess is taxable.
Fuel pump bills with date and amount. Logbook of official travel preferred but not strictly required for the standard cap.
IT cap · ₹50/meal · ₹2,500/month
Sodexo / Zeta / Ticket Restaurant-style food coupons or meal vouchers. Exempt up to ₹50 per meal × 2 meals/day × 25 working days = ₹2,500/month. Cash meal allowance is fully taxable; only voucher-based meal benefit is exempt.
Voucher provider transaction record. The voucher itself can only be redeemed at food / restaurant outlets — not at general retailers.
IT cap · Fully exempt vs bill
Subscriptions to professional journals, technical books, e-learning. Fully exempt against bills under Section 17(2) — no IT-prescribed cap. Most employers cap internally at ₹24,000–50,000/year depending on role.
Book invoices (physical or digital) / journal subscription receipts. Subscription must be in employee's name to qualify.
IT cap · Fully exempt (work-linked)
Conferences, workshops, training courses, certifications. Exempt when directly relevant to the employee's role — "connected with the duties of employment" language. Personal-development courses with no work nexus are taxable as perquisite.
Course / conference registration receipts. Pre-approval from manager helps establish work-relevance for the audit trail.
IT cap · Twice / 4-yr block
Travel within India during leave. Exempt twice in a block of 4 years for the employee + spouse + 2 children. Air (economy), rail (AC first class), or road (deluxe bus) limits apply. Only travel cost — no lodging or food.
Travel tickets in employee's name. Boarding passes for air. Block tracking required — the studio's LTA tracker maintains it.
The exemption math
Every reimbursement claim sits at the intersection of three numbers. The bill amount (what the employee actually spent). The IT cap (the legal exemption limit). The employer budget remaining (the un-utilised allowance balance). The exempt portion is the minimum of the three — anything above is taxable salary in that month.
What the employee spent — the literal rupee value on the bill. Sets the upper limit of what could possibly be reimbursed. A ₹3,000 bill can never produce more than ₹3,000 of exempt reimbursement.

The Income Tax Act's legal exemption limit for that category. Fuel: ₹2,400 or ₹900 depending on vehicle. Meals: ₹2,500/month. Telephone: no cap (full exemption against bill). LTA: tied to the 4-year block, not a per-claim cap.

What's left of the employer's annual allowance budget for that category for that employee. Mid-year, this number reflects YTD spent vs YTD budget allocation. A bill larger than budget-remaining is partially reimbursable; the surplus rolls into taxable income.

The receipt workflow
The studio's claims workflow is built for the receipt-in-hand reality: snap a photo, drop it in, the rest happens automatically. OCR pulls the date and amount; the studio matches to the right category; the exemption math runs; the approval flows to HR or auto-approves under threshold; the approved amount lands as a reimbursement line on the next pay cycle's stub.
Employee photographs the receipt and uploads through the self-service portal. JPG / PNG / PDF accepted. OCR extracts the date and amount; the employee picks the right category from a six-option dropdown.
Studio cross-checks the claim against the IT cap for that category and the employee's remaining budget. Surfaces the exempt portion in real-time — employee sees how much will be reimbursed before submitting.
Below the employer's per-claim threshold (typically ₹2,000), auto-approves and queues for the next cycle. Above threshold, queues for HR review with one-click approve / reject / request-more-info actions in the HR dashboard.
Approved amount appears as a separate line on the employee's next-month payslip — labelled by category, marked as tax-exempt. The payroll register's reimbursement column reflects the entire month's approved claims per employee.
Year-end reconciliation
The most common reimbursement gotcha: an employee's annual telephone budget is ₹24,000, they used ₹15,000 against bills, and the remaining ₹9,000 sits in their compensation — taxable as salary because there's no bill behind it. The studio reverses unspent reimbursement back into taxable salary in the March cycle so Form 16's exemption figure stays honest.
Employee's annual reimbursement budget is ₹24,000 across categories; they submitted bills totalling ₹15,000 over the year. The remaining ₹9,000 was paid as part of their compensation but never supported by bills.
Employee claimed ₹6,000 of fuel against a ₹2,400/month IT cap on an employer-owned vehicle (₹28,800 annual cap). They got the full ₹6,000/month reimbursed (within their employer budget) but only ₹28,800 of the year's total qualifies as exempt.
Employee submitted bills for ₹20,000 of their ₹24,000 telephone allowance. Asked for a one-week extension to find March's bill (₹2,000). The studio's policy supports a configurable grace period.
Employee leaves in October with 6 months of unutilised allowance budget. Final settlement reconciles their reimbursement YTD against bills submitted; unspent portion is taxable on the leaving-month cycle.
Payslip integration
On a clean payslip, reimbursements appear in three different sections — never confused, never lumped together. Approved exempt amount sits in earnings (labelled tax-free). Surplus over IT cap sits in earnings too (but labelled taxable). Year-end reversal of unspent shows as a one-time taxable add. The studio keeps these visually distinct so neither the employee nor the auditor mis-reads them.
EARNINGS · TAX-FREE
The approved amount for the month from bills within both IT cap and employer budget. Adds to gross salary on the stub but excluded from taxable-income calculation. Shows the category for clarity (e.g. "Telephone reimbursement").
Form 16 Part B shows under exemptions, citing the relevant IT section.
EARNINGS · TAXABLE
Surplus over the IT cap for that category, paid out anyway under the employer's budget. Goes into gross salary AND into taxable income — the employee pays tax on this portion. Labelled distinctly so the employee can see what was over-allowed.
Adds to ordinary salary income on Form 16, factored into the year's TDS calculation.
EARNINGS · MARCH ADJUSTMENT
Appears only on the March stub. Reverses the year's unspent allowance back into taxable salary income, restoring TDS-based income visibility. The Form 16 figure aligns with what was actually exempt vs paid.
Surfaces as a March-only line item; cumulative TDS adjustment captured by the cumulative-method engine.

No — claims are scoped to categories the employer's structure assigns to that employee. If books-and-periodicals isn't in their CTC structure, they can't claim a book reimbursement. HR can add a category mid-year by editing the structure; the studio reflects the change in the next cycle. Categories from other employees' structures don't show in this employee's claims dropdown.
